The Frog calendar system allows you to create and manage several calendars, create events, invite users and attach documents.
Adding the calendar to a page
The calendar can be found as a FrogBrick in the “Collaboration” tab when editing a page. Click and drag this icon onto your page and edit its properties by double clicking it.
You can alter the following options in the FrogBrick:
- The width and height of the calendar on the page.
- The default view for the calendar (day/week/month)
- Show left control pane, which contains the date picker, my calendars and other calendars sections
- Show top control pane, which contains the new entry button, print button, search bar, view selector and the expand to new window button.
- Show bottom control panel, contains the mini day selector for all the days in the month.
Once you have added the brick to the page and configured it – save and publish this page then view it, you should have something like below:
Creating a new entry
You can create a new entry on the calendar in one of three ways, the easiest way is to simply click on the time and day in the calendar view when you want the entry to start, then drag to the end time on that same day and release.
You can also click the new button in the top pane, or click on the calendar in the list and select the “Create event in this calendar” option. Whichever way you choose to create a new appointment you will be presented with the following screen:
- You can change the appointment name by deleting the text and replacing it.
- You can name a location and whether this is an all day event.
- If it is not an all day event you can choose the start and end times here
- You can set any repeat options here.
- You can choose who is invited to this event.
- You can add files to this event.
Clicking on the start and end section presents you with the following screen, here you can choose the date, start and end time of the event. You can also choose to set this as an all day event.
Press ok to save these changes.
When you are creating an entry, you can select who is invited to this.
- You can search for people, groups or your classes and add them by pressing the “Add” button.
- You can remove users by clicking the red cancel button next to their name.
Pressing OK will place the event in the calendars of these people. They can choose to accept or reject the invitation and you can track who has done this by opening the appointment after it has been created.
Managing Attached Files
To add a file to an event simply click the files button when creating or editing an event. Click the choose file button to browse to a file on your VLE that you would like to attach.
If you would like to remove an attached file you can do this by clicking the red cancel button next to the file name. Press ok to attach the files to this event
Please note that the file must have already been uploaded to your VLE before you can attach it. You cannot attach a file to the event from your local computer or network, it must first be uploaded to the VLE.
Viewing and editing a calendar entry
After you have created the calendar entry you can edit it at any time by double clicking the event in the overview and changing any of the options that you wish. If you are editing an entry that has been shared on other calendars you will be asked to confirm that this will make changes in all calendars and reset their invite status to “Unconfirmed”.
If an entry has files attached to it then the entry will show a pin in the top left hand corner. Hovering over this will also display a tooltip to this affect.
Creating additional calendars
All users get their own calendar that cannot be deleted, however you can also create yourself additional calendars and name them whatever you wish. To create a new calendar click the “Add” calendar button in the “My Calendars” section on the left hand pane.
Name your calendar, give it a description and choose whether the calendar is private or public. Private calendars can only be viewed by you, public calendars can be shared with other users. Click Create Calendar to finish.
Editing additional calendars
Once you have created a calendar you can edit its details by pressing the > icon next to the calendar name in the “My Calendars” pane and choosing calendar settings. On the page that is shown you can change the name of the calendar and the description. You can also delete this calendar from here. You can also select if this calendar is public or private and can invite other users to share this calendar. In the “My Calendars” section you can also set the colour of the calendar, which is useful if you want to overlay several calendars at once so you can distinguish between them.
Viewing multiple calendars
You can overlay multiple calendars on the screen at one time, you can tell which entry belongs to which calendar by the colour of the entry. You can overlay as many calendars as you like at any time and in any combination. To add a calendar to the overlay click its name in the “My Calendars” section, click it again to hide it.
You can navigate through the calendar to view future or past dates by using either the mini calendar in the left hand pane or the day selector in the bottom pane (if you have enabled them in the calendar options) The mini-calendar on the left shows you the currently selected day. You can choose another day by clicking the desired day in the list, or can navigate between the months by using the left and right buttons next to the currently selected month section. You can also navigate between the days of the current month by selecting the desired day in the bottom pane (if you have this enabled in the calendar options)
Changing the calendar view
By default the calendar will show in week view, however you can change this to show in either day, week or month view. You can also choose to view the current day in a task list format. You can switch between the views using the Day Week Month List buttons in the top right hand pane.
